Job Summary
We are seeking a highly organized and detail-oriented Dental Front Office Coordinator to join a dental practice. This role serves as the first point of contact for patients and supports day-to-day clinic operations through appointment scheduling, patient records management, insurance verification, billing support, and administrative tasks.
The position requires strong communication skills, proficiency with dental and medical software systems, and a solid understanding of healthcare documentation and billing procedures. The coordinator plays a key role in ensuring smooth clinic workflow and delivering excellent patient service.
Responsibilities
- Greet patients professionally and provide outstanding customer service at the front desk
- Manage appointment scheduling using dental practice management software
- Verify insurance coverage and benefits
- Handle patient check-in and check-out processes efficiently
- Estimate and collect patient payments
- Maintain accurate patient records in compliance with HIPAA regulations and health information management standards
- Review documentation for completeness and accuracy, including CPT coding, ICD-9/ICD-10 codes, and care plans
- Assist with insurance claims submission and follow-up on unpaid claims
- Answer multi-line phone systems with professional phone etiquette
- Perform clerical duties such as filing, data entry, and document review
- Support office management tasks including inventory management and office supply maintenance
- Coordinate with clinical staff to ensure smooth patient flow and clinic operations
Qualifications
- Proven experience in medical or dental office administration, front desk support, or clinic coordination
- Proficiency with dental practice management software, preferably Open Dental
- Strong knowledge of dental terminology, medical terminology, CPT coding, ICD coding, and insurance verification processes
- Experience with medical billing, medical collections, and health information management
- Excellent computer skills, including Microsoft Office Suite and accurate data entry
- Ability to handle sensitive patient information in compliance with HIPAA regulations
- Exceptional organizational skills with attention to detail in documentation review and record keeping
- Strong communication skills, professional phone etiquette, and customer service orientation
- Bilingual skills are a plus
- Dental office experience is highly preferred; clinic or hospital experience is advantageous
