Dental Insurance Coordinator

Overview

The Insurance Coordinator plays a vital role in managing and coordinating insurance-related processes within a dental setting. This position requires a detail-oriented individual who can navigate dental coding, maintain accurate records, and ensure compliance with HIPAA regulations. The ideal candidate will possess strong knowledge of dental terminology and experience in a dental office environment.

This role is primarily responsible for coordinating patient care. Responsibilities include facilitating communication between doctors and patients, helping build and maintain doctor/hygiene schedules, assisting with patient inquiries including insurance questions, organizing and presenting patient treatment plans with financial obligations, and obtaining patient agreement. General front office support and other duties may also be assigned by the doctors and office manager.

Duties

  • Manage the submission of insurance claims and follow up on outstanding claims to ensure timely processing.
  • Verify patient insurance coverage and eligibility prior to appointments.
  • Maintain accurate and organized dental records in compliance with HIPAA standards.
  • Assist patients with understanding their insurance benefits and coverage options.
  • Stay updated on changes in insurance policies, procedures, and regulations affecting the dental industry.
  • Conduct patient consultations.
  • Calculate fees for treatment based on various fee schedules.
  • Assist patients with financing options, insurance questions, and treatment concerns.
  • Maintain and use tickler files and delayed treatment files.
  • Notify patients when pre-estimates return and schedule appointments after making proper financial arrangements.
  • Prepare treatment consent forms in advance, including surgical, endodontic, and general consents.
  • Record chart entries from phone or in-person conversations when appropriate.
  • Manage doctor charts for treatment plans, treatment conferences, letters, and phone calls.
  • Prepare financial treatment plans and present plan options to patients at the end of appointments.
  • Assist with consultation appointments as directed by the doctor.
  • Make financial arrangements with patients after the doctor leaves the consultation room.
  • Update insurance information for all patients.
  • Organize supporting materials for claim forms, such as radiographs or written narratives, as directed by the doctor.
  • Post and monitor correct treatment codes for insurance billing.
Requirements & Qualifications

Qualifications

  • Proven experience in a dental office setting is required.
  • Strong understanding of dental coding practices.
  • Familiarity with insurance claim submissions.
  • Knowledge of dental terminology and HIPAA compliance requirements.
  • Excellent organizational skills with strong attention to detail.
  • Strong communication skills to interact effectively with patients, providers, and insurance companies.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Insurance verification experience: 3 years required.
  • Dental billing experience: 3 years required.
  • Familiarity with Open Dental software is preferred.
