Scheduler

Swift Institute

Responsible for processing and scheduling all referrals to The Swift Institute.

Reports directly to the Director of Administrative Operations and/or the Department Manager.

Key Responsibilities

  • Track and enter all referral requests in the log on a daily basis
  • Screen and schedule incoming referrals
  • Enter complete and accurate demographic and insurance information into the EMR system
  • Verify eligibility and benefits for services
  • Obtain prior authorization when required by insurance
  • Use available tools to determine patient financial responsibility
  • Document benefits information according to protocol
  • Communicate financial responsibility to patients at the time of scheduling
  • Respond to providers regarding patient referrals, care coordination, and follow-up status
  • Answer, respond to, and document patient calls, requests, and questions in a timely manner
  • Maintain productivity goals while focusing on accuracy
  • Follow all scheduling protocols established by The Swift Institute
  • Perform other duties as assigned

Physical Requirements

  • Frequent sitting, standing, walking, bending, stooping/kneeling, reaching, twisting, and occasional lifting up to 30 pounds
  • Must be able to use office equipment and computers for long periods
  • Requires close, distance, color, and peripheral vision, as well as ability to adjust focus
  • May involve occasional stress from managing multiple tasks and patients
Requirements & Qualifications

Qualifications

  • GED or high school diploma
  • Minimum one year of experience, or recent experience, working in a medical facility
  • Knowledge of insurance, government payers, eligibility, and benefits processes
  • Ability to respond promptly to patient needs
  • Strong confidentiality, professionalism, and tact in all interactions
  • Ability to prioritize work and use time efficiently
  • Ability to adapt to change and handle frequent delays or unexpected events
  • Knowledge of Intergy and Microsoft Office applications
  • Ability to operate a computer, search for information, and manage email and attachments
  • Customer service experience preferred
  • Medical terminology experience preferred
  • Computer skills preferred
