Medical Receptionist

The Care Facilitator is a patient's first point of contact and serves as a patient advocate delivering exceptional customer service. This role checks patients in and out of the medical clinic and provides basic secretarial and administrative support.

Key responsibilities include:

  • Greeting patients, checking them in and out, and scheduling appointments
  • Maintaining lobby cleanliness and organization
  • Managing provider schedules and helping ensure patients are scheduled appropriately
  • Entering and updating patient and emergency contact information in the system
  • Making follow-up calls and sending birthday/greeting cards to patients
  • Answering phones and taking accurate messages
  • Communicating clinic information to patients and others professionally
  • Verifying insurance and collecting copays
  • Assisting with specialist referral scheduling
  • Escorting patients to exam rooms and helping ensure their comfort
  • Supporting HEDIS-related needs and reporting hospitalizations
  • Distributing customer service surveys and escalating concerns when needed
  • Participating in daily and weekly huddles
  • Coordinating transportation-related tasks, including rides and deliveries
  • Maintaining confidentiality of patient information and medical records
  • Transmitting correspondence by mail, email, or fax
Requirements & Qualifications
  • High school diploma or equivalent required
  • Graduation from a nationally accredited Medical Assistant program preferred
  • Minimum of 1 year of work experience in a medical clinic or similar environment required
  • BLS for Healthcare Providers preferred
  • Strong customer service skills and a passion for serving others
  • Working knowledge of medical insurance and/or EMR systems
  • Proficiency with phones, computers, software, and basic IT systems
  • Excellent verbal and written communication skills
  • Strong listening skills and attention to detail
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
  • Ability and willingness to travel locally and regionally up to 10% of the time
  • Fluency in English
  • Flexibility to work evenings, weekends, and/or holidays as needed
