2. Information We Collect

Account Information

When you register for an account, we collect your name, email address, and password (stored as a secure hash). If you sign in via Google OAuth, we receive your name and email address from Google.

Usage Data

We collect page view data to understand how our platform is used. For guest (unauthenticated) users, we hash your IP address to track usage limits without storing your raw IP address. For authenticated users, usage is tracked by account.

Medical and Clinical Text

If you use CasePilot, CaseConsultant, RedactPHI, or DetectICD10CM, you may submit medical or clinical text for processing. We do not permanently store the content of these submissions. Text is processed transiently to generate a response and is not retained beyond the active session. You should not submit Protected Health Information (PHI) as defined under HIPAA. We are not a covered entity or business associate under HIPAA for the purpose of these AI-assisted tools.

Payment Information

Payments are processed by Stripe. We do not store your credit card number or payment details. Stripe may collect and store payment information in accordance with their own privacy policy.

• To enforce usage limits and prevent abuse
• To send transactional emails (e.g., account verification, billing receipts) via Postmark

• Cloudflare Turnstile — for CAPTCHA verification to prevent spam and abuse
• AWS Comprehend Medical — used by the RedactPHI tool to detect and redact medical entities from text
• Postmark — for transactional email delivery
• Cloudflare — for DNS, CDN, and network security services

Each of these services operates under their own privacy policies and data processing terms.

5. Cookies and Tracking

We use cookies and similar technologies to maintain your session, remember your preferences, and support analytics. Third-party services such as PostHog and Cloudflare may also set cookies. By using our platform, you consent to the use of cookies as described here.

6. Data Retention and Deletion

We retain your account information for as long as your account is active. You may request deletion of your account and associated data by contacting us at support@codingahead.com. Medical and clinical text submitted to our AI tools is not stored after processing.

7. Data Security

We use industry-standard security measures to protect your data, including encrypted connections (HTTPS), hashed passwords, and access controls. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

8. Children's Privacy

Our platform is not directed to children under 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected data from a child, please contact us and we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the updated policy on this page with a new effective date. Your continued use of the platform after changes constitutes acceptance of the updated policy.
