Reports to the Director, Assistant Director, Manager, or designee. In accordance with policies and procedures, provides for the daily scheduling of patients. Prepares reports on the provision of services to the clinical and/or professional team per established schedule. Communicates with managers, assistant directors, supervisory nurses, and recruitment staff to ensure patients are scheduled appropriately and their needs are being met.

Scheduling responsibilities include maintaining up-to-date knowledge of requirements for procedures and departmental scheduling criteria, implementing procedure and protocol updates, scheduling patient visits timely with accurate information, coordinating with other departments, answering phones with a high priority on customer service, and problem-solving using available resources.
Order Management includes verifying completeness and accuracy of orders, securing valid orders by communicating with physician offices when necessary, ensuring scheduled procedures match orders, working with verification teams to obtain prior authorization, rescheduling/cancelling patients as needed, and running reports.
Communication involves demonstrating a positive and respectful demeanor, ensuring confidentiality of patient information, resolving scheduling problems, communicating identified problems to leadership, maintaining organized e-mails, and notes in scheduling system.
Contributing to the overall effectiveness of the department by completing job-related duties, monitoring office supply needs, assisting team members, and supporting policies to prevent financial loss.
Organizational responsibilities include attending department meetings, completing mandatory education and competencies, maintaining certifications and licenses, adhering to regulatory requirements, and availability to work additional shifts or overtime.
Education and Experience: High School Diploma or equivalent, with 1 to 2 years of job-related experience preferred. Medical terminology knowledge preferred.
Knowledge & Skills: Typing and English skills, ability to keyboard 40 wpm and file accurately, read and write legibly, follow detailed instructions, and prior medical scheduling experience desired.
Working Conditions: Exposure to noise and distractions, minimal environmental hazards.
Physical Demands: Sitting for long periods in front of a computer.
