The Patient Care Coordinator supports the care team by managing patient information and administrative workflows that help deliver effective healthcare services. This role focuses on improving the patient experience, maintaining accurate records, coordinating communication, and supporting clinical and financial processes.
Key responsibilities include:
- Obtain and update patient demographics and insurance information
- Verify insurance at the time of service
- Communicate with patients primarily by phone
- Collect signatures and upload identification and insurance documents
- Complete occupational medicine registration workflows accurately
- Maintain and organize medical records
- Handle referral and prior authorization documentation
- Serve as the first point of contact for patients
- Schedule appointments and procedures according to guidelines
- Document patient information in Epic electronic health records
- Explain insurance and referral responsibilities to patients
- Coordinate communication among patients, families, and healthcare professionals
- Notify clinical staff of scheduling changes
- Scan, file, and manage documents and faxes
- Assist with onboarding new employees to scheduling processes
- Maintain HIPAA and OSHA compliance
- Assist with clinical duties and complete assigned competencies as needed
Requirements & Qualifications

- High School Diploma or GED
- At least 1 year of experience in a medical office or healthcare setting with administrative duties
- Intermediate computer skills, including MS Word, Excel, Outlook, and web-based applications
- Access to a quiet, secure home workspace capable of protecting patient information
- Reliable high-speed internet connection approved by the organization

- Knowledge of medical terminology
- Experience with Epic EMR software
