Position summary
Provides continuity of records in the transition from prospective resident to appointed resident and ensures accuracy of information maintained during tenure.
Responsibilities
- Maintains confidentiality of all records and information obtained.
- Participates in the preparation of manuscripts, abstracts, and other materials for publication or presentation.
- Assists the Senior Residency Coordinator in maintaining and tracking statistical surveys used in reporting mechanisms, including the AMA/FRIEDA annual surveys.
- Composes and prepares correspondence and various reports, prioritizing appropriately.
- Prepares and distributes call schedules to resident staff, faculty, and pertinent hospital departments.
- Demonstrates working knowledge of the residency program, including the resident match program.
- Tracks and assures compliance with required certifications.
- Schedules residents, fellows, and faculty for re-certifications in BLS/ACLS, ATLS, and PALS/NRP.
- Represents the department to the public and outside agencies in matters of administrative consequence.
- Coordinates conference travel, including airfare, registration, hotel accommodations, and reimbursements to physicians.
- Develops working knowledge of the ERAS database regarding applications, evaluations, and scoring.
- Maintains reasonably regular, punctual attendance consistent with Orlando Health policies and applicable federal, state, and local standards.
- Maintains compliance with all Orlando Health policies and procedures.
- Screens telephone calls and visitors in a timely, courteous, and appropriate manner.
- Maintains an accurate inventory of office supplies and forms, and maintains equipment.
- Adjusts support to accommodate changing priority needs.
- Assists with medical students and physician assistants rotating through the department, including badge, parking, pager, call schedules, and academic schedules.
- Demonstrates tact and diplomacy and maintains confidentiality.
- Seeks professional growth proactively by pursuing career development opportunities.
- Supports quality improvement and cost-containment efforts.
- Participates on various hospital committees as needed.
- Develops processes to improve efficiency by designing standardized formats for routine correspondence.
- Supports department faculty, residents, fellows, and staff as needed.
- Photocopies and distributes Journal Club articles to residents and faculty in a timely manner.
- Tracks periodicals and books for medical libraries.
- Coordinates rotation-specific curriculum, including goals, objectives, and pre- and post-exams.
- Implements systems of faculty, resident, and rotation evaluations per RRC guidelines.
- Provides administrative support for resident staff per RRC guidelines, including lecture preparation, CVs, post-graduate employment, and pre-credentialing and verification.
- Coordinates RRC-required didactic lecture series.
- Generates and maintains IRB protocol documentation.
Requirements & Qualifications
Qualifications
- High school diploma or equivalent.
- Working knowledge of word processing, spreadsheet, presentation, and/or database software, preferably Microsoft Office applications such as Word, Excel, PowerPoint, and Access.
- Two years of clerical or secretarial experience.
Additional knowledge
- Familiarity with residency programs, resident match processes, and ERAS is beneficial.
- Strong organizational, communication, and confidentiality skills are required.
