Role: Records Fulfillment Specialist
This position supports the preparation, maintenance, and release of medical records and protected health information in compliance with HIPAA and organizational policies. The role includes generating records upon request, assembling and routing documentation, maintaining filing systems, and supporting internal and external audits.
Requirements & Qualifications
Essential Functions
- Generate and prepare medical records upon request.
- Maintain strict confidentiality of client information and comply with HIPAA regulations.
- Manage protected health information and medical records using computer systems, patient data, classification systems, and medical terminology.
- Verify completeness, accuracy, and proper entry of medical records.
- Prepare and assemble materials, files, and packets within established timelines.
- Travel to office locations as needed to obtain notarized records and documentation, and mail records as required.
- Prepare copies of records when presented with properly completed medical release forms.
- Pull and route records to appropriate personnel, departments, or outside agencies according to policy and regulatory guidelines.
- Organize and maintain department filing systems.
- Maintain chart control, access, and storage in accordance with policies and regulations.
- Assemble and maintain client and department records according to regulatory guidelines.
- Ensure files contain complete documentation and signatures.
- Track patient paperwork, forms, and other documents as needed.
- Assist with internal and external compliance audits.
- Provide backup support to other administrative staff.
Education and Experience
- High School Diploma or GED required.
- Associate degree in a related field and RHIT credential preferred.
- Bachelor’s degree in a related field and RHIA credential preferred.
Qualifications
- Strong interpersonal and communication skills.
- Ability to exercise discretion and sound professional judgment.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and work independently.
- Effective documentation skills.
- Computer literacy, including Windows applications, Microsoft Office Suite, and electronic health records.
- Valid Ohio driver’s license, safe driving record, and valid insurance.
- Ability to complete pre-employment screenings, including background check, drug screen, physical exam, and TB test.
