The Release of Information (ROI) Specialist I in the VitalChart department is responsible for processing assigned requests for medical records in a timely and accurate manner while maintaining high-quality service for healthcare clients. The role protects patient privacy by ensuring only authorized individuals access medical information and that all release requests comply with authorization requirements, company policy, healthcare facility policy, HIPAA, and applicable federal and state regulations.
Key responsibilities include:
- Process assigned ROI requests, primarily Continuing Care and Disability Determination Services, with cross-training on additional request types as needed
- Access medical records according to client procedures and security protocols
- Validate requests and signed authorizations for compliance
- Classify request types correctly and log them into ROI software
- Retrieve and upload requested portions of medical charts from electronic or physical records
- Perform quality checks to ensure accuracy and prevent PHI breaches
- Verify invoices and adjust as needed
- Release records to valid requesting entities
- Reject noncompliant or invalid requests
- Return physical records to proper storage locations
- Document exceptions, communications, and request details in ROI software
- Escalate questionable requests, suspected breaches, delays, or connectivity issues to a supervisor
- Respond to requestor inquiries professionally and efficiently
- Maintain secure handling of all records and files
- Support additional facilities or request types during backlog periods
- Complete required training on time
- Create invoices and billing materials and keep client information up to date
- Perform other duties as assigned
Requirements & Qualifications
Minimum qualifications
- High school diploma or GED required; degree preferred
- Prior ROI fulfillment experience preferred
- Strong attention to detail
- Ability to prioritize, organize, and meet deadlines
- Strong documentation and communication skills
- Ability to maintain productivity and quality standards
- Basic knowledge of medical records and HIPAA preferred
- Prior EHR/EMR experience preferred
- Experience with Windows and Microsoft Office products
- Strong interpersonal skills with team members, clients, and requestors
- Strong computer skills
- Experience using printers, scanners, fax machines, and microfilm reader/printers preferred
- Detail-oriented, self-motivated, and able to focus for extended periods
- Ability to read, write, speak, and comprehend English; bilingual skills desirable
