Release of Information Specialist I

Vital Records Control (VRC)

The Release of Information (ROI) Specialist I within the VitalChart department of VRC Companies, LLC is responsible for processing assigned requests for medical records in a timely and efficient manner while ensuring accuracy and a high level of service to healthcare clients.

This role safeguards patient privacy by ensuring only authorized individuals access medical information and by following request authorization requirements, VRC policies, healthcare facility procedures, and applicable federal and state statutes such as HIPAA. The position also requires consistent productivity, quality performance, and professional communication with the ROI Area Manager and/or ROI Team Leader.

This is a hybrid role in the Chicago area. It requires reliable transportation, with approximately 80% of work performed on-site at client locations and 20% performed remotely from home.

Key responsibilities

  • Process Release of Information request types, primarily Continuing Care and Disability Determination Services, with cross-training on additional request types as needed
  • Access ROI requests and medical records according to client-specific procedures and security protocols
  • Prioritize and complete requests daily within turnaround timeframes and service agreements
  • Validate requests and signed authorizations for HIPAA and regulatory compliance
  • Classify request types correctly and log requests into ROI software
  • Retrieve and upload requested portions of medical charts from electronic or physical repositories
  • Perform quality control checks to ensure accuracy and prevent PHI breaches
  • Verify invoicing accuracy and adjust invoices when needed
  • Release records to valid requesting entities
  • Reject non-compliant or otherwise invalid requests
  • Return physical records to the proper location after use
  • Document exceptions, communications, and other relevant request details in ROI software
  • Escalate questionable requests, suspected breaches, delays, connectivity issues, or equipment malfunctions to a supervisor
  • Respond to requestor inquiries in a professional and efficient manner
  • Maintain secure storage of records and files
  • Assist with additional healthcare facilities or request types during backlogs
  • Follow all VRC and healthcare facility policies, HIPAA requirements, and labor regulations
  • Complete required training on time
  • Create invoices and billing materials for clients
  • Keep client information current
  • Perform other duties as assigned
Requirements & Qualifications

Requirements

  • High school diploma or GED required; degree preferred
  • Prior ROI fulfillment experience preferred
  • Strong attention to detail
  • Ability to prioritize, organize, and meet deadlines
  • Strong documentation and communication skills
  • Ability to maintain productivity and quality standards
  • Basic knowledge of medical records and HIPAA preferred
  • Prior experience with EHR/EMR platforms preferred
  • Prior experience with Windows and Microsoft Office products
  • Strong interpersonal skills with team members, clients, and requestors
  • Strong computer skills
  • Prior experience using printers, computers, fax machines, scanners, and microfilm reader/printers preferred
  • Detail-oriented, self-motivated, and able to stay focused for extended periods
  • Must be able to read, write, speak, and comprehend English
  • Bilingual skills are desirable
